The Logistics Assistant will work full time on all Extreme Sailing Series events. Candidate must be prepared to travel, working from the Event Office in the UK (Cowes, Isle of Wight) then at some of the race act destinations.

Job Details

Extreme Sailing Series is entering in its twelfth season in 2018, comprising eight events across four continents. The ‘stadium racing’ and short-style races pioneered by OC Sport for the circuit brings the racing right in front of the spectators. Extreme Sailing Series is a comprehensive sailing entertainment event that packages the sport to appeal to the public and media, also providing an award-winning experiential VIP guest experience.

Key Responsibilities of this role includes, but is not limited to:

  • Organising the logistics for each event including assisting to book hotels, booking flights, and booking transfers for a team of 30-40 people, striving to provide the best travel solutions for the team in all situations
  • Manage accommodation plans for each Act
  • Organising staff visas when required
  • Organising on-site team lunches and dinners
  • Find services for the team at all venues (laundry, bike hires etc.)
  • Managing VIP reception and check-in process at all venues
  • Managing team communications on site (via whatsapp, group emails)
  • Creating, writing and distributing roadbooks, travel plans and other necessary key documents for the event team and partners of the event
  • Managing distribution of newsletters to teams and partners of the event
  • Working with budgets and cost optimisation policies
  • Working with the wider events team on the physical set-up and pack up operations at venues
  • Providing administrative and day to day support to the team in the office and on site
  • Supporting the reception team in the office

Personal Specification

Experience will include:

  • UK or EU National
  • Language skills are considered an asset and applicants must be fluent in English (written and conversational)
  • An interest in Sport
  • Ability to work well within a team and under pressure
  • Excellent organisational skills
  • Ability to travel
  • Strong practical working knowledge of computer software – word processing, spreadsheets, presentation and database applications
  • Physically fit, as some tasks within the role will be physically demanding 
e.g. loading/unloading containers
  • Driving licence would be beneficial

Terms of your role:

  • Internship duration is 12 months. We will also accept applications for 8 months minimum (until the end of December 2018)
  • Contribution of £670 per month to living costs (based on a 12-month internship). This contribution will be calculated pro rata depending on internship duration
  • Annual leave for a 12-month internship: 20 days annual leave plus bank holidays. Holiday entitlement will be calculated pro rata depending on internship duration
  • Travel and accommodation will be paid for by OC Sport if attending events; expenses are paid in accordance with current company policies
  • Travel costs for one return travel from your home to Cowes, with prior approval, will be included also
  • Office hours are generally 9am – 5.30pm, but you may be required to work extra hours during busy periods
